Our commitments

Rules and policies

At Monaliiku, everyone should have the opportunity to participate in a safe, respectful and inclusive environment. Our rules and policies guide how we work, protect personal information and use technology responsibly.

01 / Safety and respect

A safer space for everyone

Everyone taking part in Monaliiku's activities has the right to be treated with dignity and respect. Our association's rules and safeguarding principles address bullying, racism, discrimination, sexual harassment, gender-based harassment and other inappropriate behaviour.

We take reports seriously and respond to concerns as promptly and appropriately as possible.

Have you experienced or witnessed inappropriate behaviour?

Please contact a Monaliiku staff member and explain what happened. You do not have to ignore behaviour that makes you or someone else feel unsafe or unwelcome. We will address your report in line with our policies and applicable procedures.

Rules and safeguarding documents

These documents explain the rules, expectations and principles that guide our association and activities. Please familiarise yourself with the relevant documents before participating.

02 / Data protection

Privacy and personal data

We respect your privacy and are committed to handling personal data responsibly. When you register for an activity or contact us through a form, we may need certain information to communicate with you, organise activities and help make participation safe and accessible.

The information we collect depends on the activity and the purpose of the form. We aim to collect only the information needed for the relevant purpose and to handle it confidentially.

What information may we collect?

Depending on the activity or registration form, this may include:

  • Name and contact details, such as phone number or address
  • Languages spoken
  • Information about support needs, such as childcare or other assistance
  • Health-related information, such as medical conditions or physical limitations, where relevant to participation and safety
  • Information relevant to swimming activities, such as swimming ability or restrictions that may affect safe participation
  • Other information you choose to provide that is relevant to the activity

Why do we use your information?

Depending on the purpose for which it was collected, we may use personal data to:

  • Contact you about registrations, activities and practical arrangements
  • Organise and manage your participation
  • Arrange relevant support, such as childcare, where available
  • Consider relevant safety requirements and adapt activities where appropriate
  • Meet applicable legal or administrative obligations

Legal basis for processing

We process personal data only where there is a valid legal basis under applicable data protection law. The legal basis depends on the purpose of the processing. Where we rely on consent, it must be freely given, specific, informed and unambiguous. Health-related data and other special-category data require an additional legal condition for processing under applicable law.

How long do we keep your information?

We keep personal data only for as long as necessary for the purpose for which it was collected, taking into account applicable legal obligations and other legitimate retention requirements. The retention period may differ depending on the activity and type of information.

How do we protect your information?

We take appropriate steps to protect personal data against unauthorised access, loss, misuse and disclosure. Access should be limited to people who need the information for their work. Health information, family circumstances and support needs require particular care and should only be accessed and used where necessary and permitted by law.

Who can access your information?

Access to personal data is restricted to authorised people who need it for a legitimate purpose. Where service providers or other organisations process data on our behalf, or where information must be disclosed for another lawful reason, we take the applicable data protection requirements into account.

Your data protection rights

Depending on the circumstances and the applicable legal requirements, you may have the right to:

  • Request access to your personal data
  • Request correction of inaccurate or incomplete information
  • Request deletion of your data where the legal conditions are met
  • Request restriction of processing in certain circumstances
  • Object to certain types of processing
  • Withdraw consent where processing is based on consent
  • Request data portability where the right applies

03 / Technology and responsibility

Our approach to artificial intelligence

We aim to use artificial intelligence (AI) ethically, responsibly and transparently. AI tools may support our communications, content development and other work, but they do not replace human judgement, professional responsibility or accountability.

Our team remains responsible for reviewing AI-assisted content for accuracy, relevance, tone and suitability before it is used or published.

How we use AI

  • Writing and editing: Improving clarity, readability, grammar and structure, and adapting content for different audiences.
  • Accessibility: Supporting clearer headings, summaries and descriptive text where appropriate.
  • Content organisation: Helping organise information and improve how people find relevant content.
  • Ideas and planning: Exploring topics, generating outlines and considering different approaches for human review.

Accuracy and human oversight

AI tools can produce inaccurate, incomplete or misleading information. We review AI-generated or AI-assisted content and verify important facts before publication. Content involving Monaliiku's activities, participants, partners or commitments must be checked carefully.

Copyright and intellectual property

We aim to respect copyright, licensing conditions and other intellectual property rights when using AI. AI-generated content is not automatically free of rights-related concerns. We review outputs and check relevant sources, permissions and attribution requirements where necessary.

Images, illustrations and video

AI may be used to create illustrative visuals, such as abstract graphics or conceptual imagery. We avoid using AI to create realistic depictions of real people, places or events in ways that could mislead audiences. AI-generated visuals and videos should be clearly identified when their origin is relevant to the audience's understanding.

Privacy and information security

We take care not to expose confidential or sensitive information when using AI tools. Our approach includes:

  • Not entering confidential, sensitive or secret information into AI tools unless an approved process specifically permits it.
  • Avoiding the input of personal data unless there is an appropriate legal basis, a clear need and an approved, secure process.
  • Considering the provider's data practices, security measures and contractual terms before using an AI service.
  • Using only the information necessary for the task.

Environmental considerations

AI systems use energy and computing resources. We aim to use AI when it provides a clear benefit and avoid unnecessary generation or repeated work that does not improve the result.

Review and improvement

AI technology, risks and regulations continue to evolve. We aim to review our practices as needed and update our approach when our tools, activities or responsibilities change.

Safety. Respect. Responsibility.

The principles behind everything we do.
